WHO ARE YOU?

The EA has a primary role to support the Executive Director. The EA will be highly organised and provide a strong and reliable support to company operations, establish strong relationships with stakeholders, maintain and create procedures, proactively plan and coordinate meetings, prepare and revise documents and presentations, be proactive and forward thinking and nurture the pleasant work environment at Beulah.

Key responsibilities of the role will include:

  • Act as a first point of contact for executives, employees, clients and other external partners and stakeholders
  • Working closely with the EA to Managing Director, Office Manager and Team Assistant
  • Diary Management of Executive Director (including agendas, papers, minutes & logistics)
  • Creates a high level of trust and confidence, acting with the utmost professionalism and discretion over the phone, through written communication and in person, to accomplish requests and achieve goals.
  • Follow up meeting actions to ensure accountability
  • Manage information, correspondence & queries in a timely, accurate and professional manner and liaise with staff, suppliers and clients
  • Manage executives’ calendars and set up meetings as well as prioritise tasks for ED according to business/project criticality
  • Follow up meeting actions and assist ED to complete tasks/projects within required timeframes (keep track of timelines and set reminders as well as prioritise accordingly)
  • Ensure regular meetings are scheduled for all direct reports and other key business relationships
  • Helps prepare materials for distribution for management and client meetings, including developing organisational graphics and visuals
  • Work to deadlines and under pressure; be a process champion, managing workload, helping drive adoption & efficiency improvements
  • Act and plan according and along business processes, business operations and draft correspondence as well as triage incoming priorities

WHAT ELSE DO YOU NEED TO HAVE?

  • Minimum 3 years’ experience as an Executive Assistant to Executive or Managing Director within an architectural, property development or design business
  • High level communication and presentation skills
  • Excellent stakeholder management abilities
  • Exceptional organisational and time management skills
  • Ability to handle multiple projects and flexible to change
  • High attention to detail
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Ability to manage confidential information
  • Highly proficient technical skills (primarily MS Office Suite, Teams & SharePoint) & IT literacy
  • Engaging personality and optimistic outlook
  • Experience developing internal systems
  • Ability to manage confidential information
